Build the order around a serving plan
Write down the event time, expected attendance, and whether the bakery food replaces a meal or supplements one. A pastry table at a breakfast meeting needs a different portion plan from dessert after dinner. Choose a small number of clearly defined options so you can count servings without double-ordering.
For a group, describe the food on a simple label beside each tray. Keep the original packaging or ingredient information available. If a guest has a food restriction, resolve it with the bakery before buying; a familiar product name or frosting color does not tell you how it was made.
Separate the items that need advance work
Put a custom cake and ordinary packaged bakery items on separate lines in your plan. The custom order has an agreed design and pickup time. The packaged items depend on what is available through the selected store's current shopping flow.
If the party needs a specific color or message, do not leave that decision to an ordinary grocery substitution. Confirm how the decorated item will be ordered and collected. A box of assorted cupcakes can be a useful backup, but only if it fits your event and guests' ingredient requirements.

Make pickup part of the schedule
Choose who is responsible for collecting the food, carrying it into the venue, and setting it out. Send that person the store location and order confirmation, not just the retailer's name. Leave enough time to correct a misspelled message or locate a missing part of the order.
Collect fragile decorated items after bulky shopping where possible. Keep cleaning products and heavy bags away from bakery boxes. At the venue, leave protective packaging in place until the table is ready, and follow the product's storage instructions.
Compare the complete basket
Compare total portions and total cost, including serving supplies you still need. A larger pack is only useful if those extra pieces will be eaten. If you split the order across stores, include the second collection trip in the decision. Convenience can be worth more than a small difference on one tray.
